How to Request a COI

Fill in the request form below with the building's COI requirements: certificate holder name and address, additional insureds, and any specific coverage language.

We Confirm Receipt

You get an email reply confirming we have the request and any clarifying questions.

We Email the COI

Our insurance carrier issues the certificate. We email a PDF to the requester and, if you provide the address, directly to the certificate holder.

Additional Insureds Attached

If your building requires an additional-insured endorsement, that is attached to the same email as a separate page. Most NYC co-ops and condos require this.

Renewals & Updates

Need an updated COI for a renewal, a new project phase, or a different additional insured? Submit the form again with the new details — same turnaround.

Certificate Holder vs. Additional Insured — What's the Difference

These two phrases get used interchangeably, and they mean different things. Knowing which one your building actually requires keeps the COI process from bouncing back twice.

  • Certificate Holder — the entity that receives a copy of the COI. The certificate holder is informed of our coverage but is not protected by it. Most buildings only need this.
  • Additional Insured — the entity actually covered by our policy for the duration of the project. Requires an endorsement from our carrier. Co-op and condo boards, property management companies, and general contractors typically require this in addition to being certificate holders.
  • Waiver of Subrogation — a separate endorsement that prevents our insurer from recovering damages from the additional insured. Sometimes required by larger commercial buildings; let us know if it appears on your COI requirements list.

Who Typically Needs a COI From Us

Almost every NYC co-op and condo requires a COI naming the building and the management company as additional insureds before an alteration agreement can be approved. We handle these regularly.

Commercial Property Managers

Office buildings, restaurants, retail, and mixed-use properties all run COI requirements as part of vendor onboarding. Standard process; usually a one-time setup per property.

General Contractors & Construction Managers

When we are a sub on a larger project, the GC will require us to add them and the owner as additional insureds for the duration of the work. Send their requirements with the request.

What insurance do you carry?

We carry commercial general liability insurance. Are you bonded?

Bonding is project-specific for HVAC work. If your project requires a payment or performance bond, let us know in the request and we'll arrange the appropriate bond for the job.

Do you work on co-op and condo projects in NYC?

Yes. Co-op and condo HVAC work — with the alteration agreement, board approvals, COI requirements, and building rules that come with it — is a normal part of our residential and commercial work. We are familiar with the standard COI language that NYC boards request.
